The phones reconnect after a few seconds, customers hear silence, and someone blames the PBX. In practice, the weak point is often the business internet plan underneath it.


Hosted PBX can save time and money, remove the need for on-premises phone hardware, and give staff flexible working locations through any suitable internet connection. But every SIP registration, call setup and voice stream still depends on the link, router and failover design. This buyer's guide treats internet as a voice-quality decision, not a race to buy the largest advertised download speed.


Why Your Internet Plan Matters More Than Your PBX Features


A small office recently chose the cheapest available NBN tier, installed a hosted PBX and connected a dozen handsets. On paper, the setup looked sensible. The provider supplied voicemail, call queues, transfers and mobile access, while the office saved the expense and maintenance burden of a traditional PBX.


The trouble appeared every day around lunch. Calls dropped or became distorted when staff used cloud applications and other customers shared capacity on the same connection. The PBX features weren't the problem. The internet plan had been selected for casual browsing rather than simultaneous voice and business traffic.


Practical rule: A hosted PBX is only as dependable as the connection carrying its calls.

Voice traffic is unforgiving because callers notice delay, jitter, packet loss and outages immediately. A webpage can load a moment later without anyone caring. A conversation with clipped syllables, long pauses or one-way audio feels broken, even when the connection's headline download speed looks impressive.



The hosted platform handles the application layer. It can route calls, send voicemail to email, manage business hours and connect remote workers, but it can't compensate for a congested access link or an unstable router. Your phones send signalling and audio across the same network used by email, CRM systems, file synchronisation, video meetings and backups.


That's why a business internet plan should be assessed against the way your team works. Ask when the office is busiest, how many people call customers at once, whether remote phones use the same service and what happens when the primary connection fails.

Fixed wireless and 5G can suit premises without suitable fixed-line infrastructure, temporary offices or businesses that need a faster installation path. They can also work as a backup. Coverage, indoor signal, local congestion and mobile blackspots matter more than the advertised maximum speed, so test the service at the site and during the hours when calls matter most.


Legacy-style dedicated circuits remain relevant for organisations with strict availability requirements or multi-site networking needs. They're usually harder to justify for a small office unless the cost of a failed connection is substantial, but they offer a more controlled service model than a basic shared plan.

Don't accept a speed tier without asking for typical busy-period performance, upload capability and documented support conditions. Sizing Bandwidth by Concurrent Calls, Not by Speed Ads


Buying internet by the largest number on the advertisement is lazy planning. Start with the number of calls that can happen at the same time, then allow room for everything else your staff do online.


Use this simple method:


  1. Count peak concurrent calls. Don't count the total number of handsets. Count the calls likely to be active during the busiest period.

  2. Multiply concurrent calls by roughly 100 kbps per call. The figure needs room for voice traffic and protocol overhead, while codec selection, VPN use and silence-suppression settings can change the actual requirement.

  3. Add a 50% to 100% headroom buffer for CRM activity, email, video meetings, cloud backups, file sync and remote workers sharing the link.

A practical office example


Take a 15-person office where five staff may be on calls simultaneously. Five calls multiplied by roughly 100 kbps creates a voice allowance of about 500 kbps before other traffic and headroom. That raw voice figure is not the plan recommendation. Add the buffer for cloud systems, video meetings, backups and remote access, then verify that the upload speed can carry the combined demand.


Upload matters just as much as download. SIP signalling and RTP media need upstream capacity, and staff sending files or synchronising cloud data can interfere with calls even when webpages still load quickly.

Use real demand as a reasonableness check


The Australian Government's fixed-line demand model found that 95% of Australian small businesses had peak bandwidth demand of 24 Mbps or less in 2018, with a projected 37 Mbps or less by 2028. The same model put 90% at 19 Mbps or less in 2018, projected to reach 27 Mbps or less by 2028, while half were at 7 Mbps or less in 2018, projected to reach 9 Mbps or less by 2028. Those figures don't tell you which plan to buy. They show why small businesses should map concurrency and application load before paying for excess capacity. A modest office can need less raw bandwidth than a large team, but a single shared WAN link still needs enough headroom to keep voice traffic clear during busy periods.


SLAs, Static IPs, and the Router Settings That Make Calls Clean


Once you've calculated demand, stop comparing plans as if they were household streaming packages. A voice-ready service needs written commitments and a router that knows voice traffic has priority.


Put the service promises in writing


Ask the ISP these questions before signing:


  • What restoration target applies to a business fault? Get the target restore time and the conditions that suspend it.

  • When can I contact support? Confirm business-hours coverage, after-hours escalation and the process for declaring a critical voice outage.

  • What performance information will you provide? Ask whether the provider publishes busy-period performance and fault history for the service type.

  • What equipment is included? Confirm the router model, replacement process and whether the provider manages its configuration.

  • What happens after the contract term? Check renewal pricing, upgrade rules, exit fees and installation charges.


An SLA doesn't make an outage impossible. It gives you a defined recovery path and a person or team responsible for progressing the fault.


Confirm the network essentials


A static IPv4 address can simplify SIP allowlisting, VPN access and remote phone provisioning. It isn't mandatory for every hosted PBX design, but you should know whether the service supplies one, whether it's dedicated to your business and whether changing plans affects it.


On the LAN, separate voice and data with a voice VLAN where the equipment supports it. Configure QoS so SIP signalling and RTP media receive priority over large uploads and non-critical traffic. Disable SIP ALG on most consumer routers because it can rewrite signalling in ways that interfere with registration or audio. Where supported, use DSCP marking on handsets and network equipment so voice retains priority across the local network.

Redundancy Options and the Real Cost Trade-Offs


A hosted PBX gives staff mobility, but that flexibility increases dependence on connectivity. If the primary link fails, calls may stop reaching the office even though the PBX platform itself remains online.

Three practical backup designs


A 4G or 5G modem in failover mode is the simplest option for many small offices. The router switches mobile connectivity on when the primary service fails. Ongoing cost is usually lower than maintaining a second fixed service, but the backup inherits local mobile coverage limits and can struggle in a blackspot or during congestion.


A second NBN service gives you another access path, especially if you choose a different carrier or technology. NBN plus fixed wireless can be more resilient than two services dependent on the same physical route. The trade-off is a second monthly bill, and the backup may still fail if both services share local infrastructure or power dependencies.


An SD-WAN-lite dual-WAN router adds application-aware steering. It can direct voice and priority traffic over the healthier path while leaving less important data on the secondary link. This approach gives better control, but it introduces configuration, monitoring and support requirements that a very small office may not want to manage itself.


The right choice depends on the commercial impact of missed calls. A five-person professional office might accept mobile failover with a tested manual call diversion. A 50-person customer-facing operation may need dual fixed services, managed routing and a documented outage procedure.


Buy recovery, not theoretical perfection


ACMA survey data records 67% of businesses satisfied with the reliability of their business internet service. Among businesses that experienced issues, 48% reported unplanned outages and 23% reported speed problems. The same ACMA business internet survey source identifies internet outages as the biggest reported problem at 19%, followed by combined phone-and-internet outages at 11%.


ACCC monitoring has also reported busy-hour performance close to plan rates on modern NBN fixed-line services, including 98.5% of plan speed during busy hours in one report, compared with 87.5% in an earlier comparison period, as documented in the same broadband performance release. Speed consistency still doesn't replace failover. A fast connection that fails is still an unavailable phone system.


Test the backup under load, check whether the phones re-register automatically, and decide how customers will reach staff during an extended outage. Your redundancy budget should reflect the cost of a missed customer call, not just the price of the cheapest line.



Pre-Purchase Checklist and Post-Installation Voice Tests


A hosted PBX can sound poor on a connection that looks fast on paper. Treat the internet order and PBX deployment as one project, then test upload performance, router behaviour, call quality and recovery before staff rely on it.

Confirm these items before purchase


  • Connection type: Record whether the site receives FTTP, FTTC, FTTN, HFC, fibre, fixed wireless or 5G. The access type affects consistency and backup choices.

  • Plan speed and upload: Capture the advertised figures and ask for busy-period performance information. Hosted PBX audio needs stable upstream capacity, not just an attractive download rate.

  • Static IP: Confirm whether a dedicated IPv4 address is included and whether it supports your PBX, VPN or allowlisting requirements.

  • SLA terms: Record restoration targets, support hours, escalation steps and exclusions. Ask who owns the fault when voice quality drops without a complete outage.

  • QoS support: Confirm that the supplied router can prioritise SIP and RTP, separate voice traffic with VLANs and disable SIP ALG where required.

  • Router model: Record the exact model and who manages firmware, replacement and configuration. Avoid equipment your provider will not support during a call-quality fault.

  • Failover design: Choose mobile backup, a second service or dual-WAN routing. Document how calls switch over and how phones reconnect.

  • Contract and total cost: Include installation, equipment, contract length, renewal terms and excess usage charges.


Prove the line after installation

Place a five-minute call while staff create normal background traffic.
